Coordination
What Does a Wedding Day-of Coordinator Actually Do?
A wedding-day coordinator helps turn the plan you have chosen into a day people can follow. The work starts before the ceremony: a coordinator needs to understand your providers, the venue's rules, the schedule and who is responsible for each task. “Day-of” is a familiar label, but it is not a substitute for a written scope of service.
Bring the separate schedules together
Your photographer may need portraits before dinner, the caterer needs a firm service time and the venue has a limit on vendor access. A coordinator looks for conflicts among those plans and helps put them on one timeline. The useful version includes arrival, setup, ceremony cues, meal service, key moments and the handoff at the end of coverage.
Give the coordinator your latest provider contacts, agreed service hours, floor plan, guest-count information and decisions that still need answers. A shared plan is only as reliable as its inputs. Assign one person who can approve a change when you are unavailable.
Confirm the handoffs before the wedding
Confirmation means checking more than a vendor's arrival time. Where do they unload? Who lets them in? Does someone need power, storage or a meal? Who sets out the ceremony chairs, and who moves them afterward? These questions often reveal a gap between what two providers each expect the other to do.
For outside vendors, venue approval is a separate step from hiring them. Gather the information the venue asks for early and confirm that approval is complete. A coordinator can help organize the process, but cannot make an unapproved provider acceptable by simply adding them to the timeline.
- Name an owner for each setup and end-of-night task.
- Check the weather-decision deadline with the venue and providers.
- Confirm where gifts, personal items and leftover decor will go.
- Share the final contact list and timeline with the people who need them.
Keep the wedding day moving
On the day, coordination may include checking arrivals, communicating ceremony cues, keeping providers informed and adjusting the order of events when something runs late. For example, if portraits take longer, the coordinator can speak with catering and music providers about the dinner transition instead of leaving three teams to make separate guesses.
Agree on the start and end of on-site coverage. If coverage finishes before the last rental pickup, decide who handles that pickup. Ask how urgent decisions reach you and which small adjustments the coordinator may make without interrupting you.
Separate oversight from planning and physical work
Full-service planning can include finding vendors, developing the overall budget and design, and managing decisions over many months. Coordination focuses on organizing and overseeing the plan already chosen. A venue manager also has a different role: looking after the property does not automatically include managing your entire wedding team.
Do not assume coordination includes carrying furniture, installing flowers, serving drinks, washing dishes or cleaning the venue. Ask who will do that work and book the necessary staffing. If you need a rehearsal, venue visit or additional hours, ask whether those services are offered and how they are covered.
How Longtabl venue-rental coordination fits
Longtabl's wedding venue-rental offering requires Longtabl coordination. Its scope includes help obtaining venue approval of non-Longtabl vendors before the final month; final-month logistics, timeline preparation and vendor confirmations; and up to eight on-site hours of day-of oversight by a Longtabl-assigned coordinator. The current price is $2,000, separate from rental.
You independently find, hire, contract with and pay non-Longtabl vendors. The coordination scope does not include full-service planning, attendance at venue visits, physical setup, decorating, serving or cleanup. Complete packages bring compatible services together; review the particular package's inclusions instead of assuming the venue-rental scope applies to every offering.
